Murcon Safety Solutions (“we”, “us”, “our”) is committed to protecting your privacy. This policy explains how we collect, use and look after personal information when you use murconsafetysolutions.co.uk, contact us, or use our client portal.
We process personal information in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Who we are
Murcon Safety Solutions provides health and safety consultancy, training, documentation and ongoing support to businesses in the United Kingdom.
For the purposes of UK data protection law, we are the data controller for personal information collected through this website and our enquiry channels.

2. Information we collect
We may collect and process:
- Enquiry details – your name, company, email address, telephone number and the content of your message, when you use our contact form or email us.
- Client information – contact details, site and workplace information, and health and safety records needed to provide our services. This is usually collected under a separate client agreement.
- Portal account details – login details and documents you or we upload to the Murcon client portal, if you are an ongoing client.
- Technical information – limited information your browser sends automatically, such as IP address, browser type and the pages you visit. We do not currently use advertising or analytics cookies on this website.
You do not have to give us personal information, but we may not be able to respond to an enquiry or provide a service without it.
3. How we use your information
We use personal information to:
- respond to enquiries and provide quotes or information about our services
- deliver health and safety support, including advice, implementation, ongoing support and monitoring
- give clients access to their documents and support through the client portal
- manage our relationship with you, including appointments, reports and invoicing
- meet legal, regulatory and professional obligations
- keep the website and portal secure and in working order
We will not sell your personal information, and we will not use it for unsolicited marketing unless you have asked us to.
4. Legal bases
Depending on the circumstances, we rely on one or more of the following bases under UK GDPR:
- Contract – to take steps at your request before entering a contract, or to perform a contract with you.
- Legitimate interests – to respond to business enquiries, run and improve our services, and keep our systems secure, where those interests are not overridden by your rights.
- Consent – where you tick the contact-form consent box, or otherwise agree to a specific use of your information. You can withdraw consent at any time.
- Legal obligation – where we must keep or share information to comply with the law.
5. Who we share information with
We only share personal information where it is necessary. That may include:
- Howarth Web Design, who created, published and host this website, and who may process limited technical or enquiry data on our behalf
- the providers who host our email and the client portal
- professional advisers, insurers or regulators, where we are required or entitled to do so
- a buyer or successor, if we transfer our business
Anyone who processes personal information for us is expected to keep it secure and use it only for the purpose we have set.
We do not currently intend to transfer your personal information outside the United Kingdom. If that changes, we will use appropriate safeguards required by UK data protection law.
6. How long we keep information
We keep personal information only for as long as we need it:
- unsuccessful or unanswered website enquiries are usually kept for up to 12 months
- client records are kept for the length of the engagement and for a period afterwards, typically up to 7 years, to meet legal, insurance and professional requirements
- portal accounts remain active while you are a client and are closed when the engagement ends, subject to any records we must retain
We may keep information for longer if we need it in connection with a legal claim or a regulatory requirement.
7. How we keep information secure
We take reasonable technical and organisational steps to protect personal information against loss, misuse and unauthorised access. No transmission over the internet is completely secure, so we cannot guarantee the security of information you send to us until it reaches us.
8. Cookies
This website is a static brochure site. We do not currently set advertising, tracking or analytics cookies.
The client portal at portal.murconsafetysolutions.co.uk may use essential cookies or similar technology so that you can sign in and stay signed in. Those cookies are required for the portal to work.
Your browser can block or delete cookies. If you block essential cookies on the portal, some features may not work.
9. Your rights
You have the right to:
- ask for a copy of the personal information we hold about you
- ask us to correct inaccurate information
- ask us to delete information, or to restrict or object to how we use it, in certain circumstances
- ask for information you provided to us to be transferred to you or another organisation, where this applies
- withdraw consent where we are relying on consent
